Notification

GUEST -> Configuration -> Notification:

GUEST provides a variety of different email and text/SMS notifications, including Visitor and Host Notifications, Watchlist Notifications, general Policy Notifications and Visit Approval Notifications.

Host Notifications:

  • The first tab of the Notification screen is where messages to the Host and Visitors are configured.
  • The following options are available on the “Host” tab:
    • Send visit reminder notification: If checked, the system will send the visitor a reminder for their upcoming visit. The user needs to specify how many days in advance to send out the reminder (typically 1 day in advance of the visit).
    • Send visit arrival email notification: If checked, the Host will receive an email when their visitor is checked in.
    • Send visit arrival SMS (TEST) notification: If checked, the Host will receive a text message when their visitor is checked in.
    • Send Visitor Welcome Email: If checked, the Visitor will receive an email when they are registered for a future visit. The email contains important information about their upcoming visit including date, time, location, host details etc.
    • Include QR Code: If checked, the Visitor Welcome Email will include a QR Code (barcode) that can be used to locate the visitor record during check-in at the reception desk, or kiosk.
    • Include Employees for Visitor Welcome Email: If checked, employees who are registered as a visitor will also receive the Visitor Welcome Email. An active employee can be registered as a visitor for another location; this checkbox determines whether they receive the same welcome email as a visitor when they are registered.

Security Manager Notifications (Watchlist Notifications):

The 2nd Notifications Tab (Security Managers) allows for users with the Security Manager user role (IDM user role) to receive an email notification when a visitor matching an identity on the watchlist is registered and/or checked-in.

The Watchlist itself is configured on the IDM tab and is covered in the IDM Administration Guide. The Security Manager User Role is also configured on the IDM tab of the solution.

System Policy Notifications (Threshold Notifications):

The System Policies tab allows an administrator to receive an email if visitor traffic per hour or day exceeds a specific threshold. Simply enter the threshold for visitors per day and per hour and enter an email address where notifications can be sent.

All GUEST Administrators will automatically receive the threshold notifications.

Visit Approval Notifications:

The Visit Approval tab allows an administrator to configure when a reminder email is sent out for a visit that requires approval. The default is 24 hours, meaning that the approver will receive a reminder about the required approval 24 hours prior to the start of the registered visit.
